We are a Mobile, agile, expert Notary service supporting international business. Notarisation and authentication made easy and convenient. For companies, businesses and organisations, their stakeholders, executive and management teams. Combined team bring 60+ year’s experience.
APOSTILLE & LEGALISATION MANAGED
FCDO Apostille, Embassy and Consulate Legalisation for documents may be required. It is Country (and sometimes document) dependent. We provide complimentary advice on what is needed, including our Free help – notary and legalisation.We manage all the FCDO and legalisation steps for clients, including any onward forwarding.
In-house support
We understand in-house. We work with client teams,using our collaborative experience. We can provide training, facilitation and guidance on notarisation, governance, corporate document execution and business integrity. Floodlight Business who we associate with as a support service, provide access to their valuable and insightful Integrity Platform and GC Impact Programme. We have informed these initiatives from our Board and project experience serving General Counsel, Governance and In-house teams.

Company Notary Limited was formed in 2010, building on Dawn Stallwood’s busy corporate commercial notary practice (which goes back to 1999). Borne out of her personal in-house experience, our managed service approach to notarisation, FCDO and legalisation is intentional. We are relationship driven, with clients who have been with us for 20+ years, as well as welcoming new clients. All are treated with the same responsiveness, professionalism and care.
We are based in Surrey and SW London, (see Where we Serve) with Notary team commercial experience spanning more than 60 years. Supported by client concierge, FCDO, embassy and legalisation and document co-ordination practitioners, we deliver a mobile, agile, commercial and expert service.

Notarisation?
Countries (and sometimes type of documents) have differing requirements to ensure a document is ‘beyond proof’ and of integrity. It may be simple notarisation, or it could involve FCDO, chamber of commerce and embassy. It is always best to check with us about the specifics. We are your Company Notary, near you, literally.
Our service is fully mobile. We see our clients and signatories (often directors or management team members) wherever convenient – office, home, in transit, airport, coffee shop. We go where they are. With service locations in Cobham/Weybridge, Dorking/Epsom, Reigate/Gatwick, Farnborough and London (SW, Central), we serve clients across Surrey, North Hampshire and London. We can see clients beyond these locations, where needed. If in doubt, ask us!
We work with the PA/EA, co sec and legal teams to make the notary experience as hassle free as possible, taking the least time away from the busy signatory. We can also see clients virtually if guidance and requirements permit.
AGILE AND RESPONSIVE
We know how busy our clients are. We have been in their shoes! Our ability to be agile and responsive is driven by our commitment to our client relationships. So, we can see signatories and clients before or after business hours, in the middle of a board presentation, on the weekend (within reason), as well as during the working day. We pride ourselves on being pragmatic and problem-solving; it is rare for us not to be able to overcome a logistical issue.
We provide access to free preliminary advice, including a proprietary on-line resource to check the notary and legalization requirements (and receive your own tailored checklist by email).
We invest in technology to help practice management and the client experience.

Dawn Stallwood is a relationship management facilitator (and ISO 44001 specialist) and has spent over 25 years working alongside client teams for M&A, international growth, board effectiveness, GC and In-House team impact. We are focused on delivering a notary service which meets our clients’ needs.
We invest time and energy into our client teams and their own personal growth in role and progression. Helping our clients achieve their ambition is a shared objective for all of us here at Company Notary.
We are independent and not a solicitors firm. We believe in transparency and strong communication. Pricing, process and steps are made very clear.

Our notaries and support personnel are commercial specialists, each having commercial and operational backgrounds. We draw on our practitioner experience to support the notary work we do. We are familiar with international transactions and asset management. We associate with Floodlight Business, the integrity practice founded by Dawn, which brings additional depth of board and project experience.
Company Notary has team members with commercial legal and in-house lawyer backgrounds, and experience supporting boards, HNWI/UHNWI and family offices. Our notaries are regulated by the Faculty Office, with Notaries Society (www.thenotariessociety.org.uk) membership. We hold Professional Indemnity and Fidelity Insurance and our team undertake continuing professional development training.

Our client concierge, FCDO Apostille and Embassy legalisation and document forwarding are handled in-house with experienced resource. We do this to ensure the client can relax and not waste their time. It is a partnership. Our clients often have hard deadlines or short windows to obtain signatures which we factor in. We prefer to be end to end where possible. We use trusted consular agents for elements of legalisation under our co-ordination and liaison.

We bring an external notary and legalisation fully managed service for documents. We consider ourselves an extension of your team and resource. You will have access to our expert notaries, when you need them. Engage us early and we will help you manage your international documents. We generally do not charge for email advice or phone-calls!
We have in-house legal, finance and company secretarial team and professional backgrounds which combined, means we understand your service level needs.

25 YEAR NOTARY MILESTONE IN 2024
Having found it hard to get a Mobile Notary to see her board directors whilst in her first in-house job in aviation in the 90’s, Dawn Stallwood, decided if ‘you can’t beat them, join them!’ Dawn qualified as a notary on her 25th birthday in 1999; which will be 25 years ago in November 2024! Back then, Dawn was one of the youngest (and female) notaries in the country, but where did the time go? During 2024, Dawn will share her insights into international business for corporates and private families and integrity practices drawing on her extensive client experience.

China becomes Apostille only November 2023
7th November 2023 is an important day for our clients. From 7 November, documents for China will only need to be notarised and then apostilled by the Foreign and Commonsesalth Development Office (FCDO).
